RPSC Data Import Issues

Wrong Prices Come in

The correct cost was imported, but the correct list price was not moved over. The Price originally said F for Fixed in the Mater Default Part, but ended up showing L for Markup from Landed at 0%.

Due to XSL stylesheets not being current

In order to fix this just delete the existing stylesheets and then log into System Five. When you log into System Five it will re-create the missing style sheets. There are 4 files to remove:

  • GC_CUSTOMER.XSL
  • GC_INVENTORY.XSL
  • GC_SALESHISTORY.XSL
  • GC_SUPPLIER.XSL

Overview and Requirements

Requirements to Export Data from RPSC Software:

The RPSC customer must be running version 5.5.155 of the RPSC program (If it is a later version, that is fine.)

  1. Ordered List Item
  2. RPSC Software version 5.5.155 or greater, and System5 version 5.33.0.16 or later.
  3. Step 1 of training in Windward SystemFive has been completed.
  4. * Main and sub-category setup must be completed.
  5. * Taxes must be set up. The tax setup must match the structure of the RPSC tax structure.
  6. The current version of RPSCExport.exe. (The newest version 1.0.0.33 is available at ftp://ftp.windward-ca.com/pub/special/rpsc_export_tools/ or from http://wws5.com/downloadarea.php .
  7. * Important Note: The RPSC wizard should only be installed on one RPSC workstation. If an older version of the RPSCExport.exe is already installed in the C:\GCSClient directory, manually delete this application before installing the newer version. All other files will be overwritten by the setup application of the newer version.

Requirements to Import to Windward System5:

  1. Windward System5 release version 5.33.0.16 or later, so it will have the correct XSL stylesheets for importing the data from RPSC.
  2. 1 set of .csv export files created by RPSCExport.exe from the GCS data.
  3. A minimum of 4 price schedules defined in WWS5.
  4. * Note: The price schedules don’t have to be named.
  5. * If the RPSC customer was using Price A (Retail), Price B, Price C, Wholesale, and Loyalty prices, then 5 price schedules need to be created.
  6. Taxes must be defined in WWS5 matching tax setup in GCS.
  7. All categories must have their GL Accounts Set. (None can be blank.)
  8. The Master default item must be set up.
  9. * To get the most accurate information on imported inventory the Master

default and category defaults should be setup with the greatest possible detail.

  1. * Do not set up sub-category default items prior to importing the inventory into System5.
  2. * The first Price Level (List 0) should be Fixed, Regular % = 0.00, Next Price = 0.00. This will bring the prices into System5 as they are set in RPSC.
  3. The default customer and supplier must be created in System5.
  4. Another import from RPSC Software data can not have been done previously. Only 1 import of the files can be done.

Action Plan

The action plan for RPSC Software customers should look something like this:

  1. Install Windward System5.
  2. Go through Tutorial CD.
  3. Complete Step 1 training.
  4. Create Play data.
  5. Export current RPSC Software Data to System5 Play data.
  6. * Export data From RPSC Software.
  7. * Import to Windward SystemFive Play data.
  8. Continue training steps two and up (Working on live data).
  9. On “Go Live Date” stop using GCS.
  10. * Make sure there are no sales in the Order Posters.
  11. * Close out and no longer use RPSC Software.
  12. Perform RPSC Software Export and Import into Windward SystemFive.
  13. * Export from RPSC Software (Create .CSV files).
  14. * Import .CSV files into Windward System5.

The documentation that is available with the RPSC Export Wizard setup is well written and very detailed. The RPSC customer must be acquainted with this documentation, as it will make the procedures very smooth and trouble free.
